Terms of Use
Rules for using Office Management System
Effective May 21, 2026. These terms describe the expected use of the Office Management System by employees, managers, HR, Accounting, and administrators of ECCP.
1. Authorized use
This system is for authorized company work only. Users may access only the records, workflows, reports, attachments, and administrative tools needed for their assigned role.
2. Account security
Users are responsible for protecting their passwords, authenticator devices, recovery codes, and active sessions. Shared accounts are not allowed unless explicitly approved by the organization. Suspicious activity or accidental access to another person records must be reported promptly.
3. Accurate records
Leave, overtime, offset, attendance corrections, financial requests, receipts, liquidation details, profile information, and supporting documents must be accurate and submitted in good faith. Approvers must review requests according to company policy and their assigned authority.
4. Confidentiality
Employee records, government identifiers, payroll-adjacent details, receipts, attendance records, leave reasons, and administrative settings are confidential. Users must not download, copy, disclose, or reuse system data outside approved business purposes.
5. Attachments and uploads
Uploaded files must be relevant to the request or record. Users must not upload malicious files, unrelated personal files, offensive content, or documents they are not authorized to submit.
6. Monitoring and audit records
The system may record timestamps, request history, workflow actions, attendance imports, manual corrections, notifications, security events, and administrator actions for operational, compliance, support, and security purposes.
7. Ownership and licensing
The application, custom workflows, configuration, implementation work, UI composition, documentation, and deployment-specific materials are proprietary to Mark Lenard De Lara. All rights are reserved unless a separate signed written agreement grants a specific license. Authorized users receive only a limited internal-use right to access the system for approved company purposes. Third-party frameworks, packages, icons, and libraries remain governed by their respective open-source or commercial licenses.
8. Availability and changes
The organization may update, disable, restrict, or maintain the system as needed. Integrations such as email, Google SSO, Google Calendar, reCAPTCHA, and biometric devices may be unavailable during maintenance or provider outages.
9. Policy conflicts
If these terms conflict with an employment agreement, approved company policy, law, or written instruction from HR, Operations, Accounting, or Management, the stricter or more specific requirement should be followed.
10. Violations
Misuse of the system may result in access removal, request reversal, internal review, disciplinary action, or legal action depending on the severity and applicable company policy.
